San Institute of Computing, Management and Information Science invites applications from suitably qualified, competent, and motivated individuals to fill the position of Administrative Assistant/Secretary.
Job Purpose
The Administrative Assistant/Secretary shall provide administrative, clerical, and office support services to ensure the efficient operation of the Institute. The Secretary will manage correspondence, maintain records, coordinate office activities, receive visitors, and support communication and administrative functions within the Institute.
Key Duties and Responsibilities
- Receive and direct visitors, students, staff, and other stakeholders in a professional manner.
- Manage incoming and outgoing correspondence, including letters, emails, and telephone communications.
- Prepare, type, proofread, and distribute official documents, reports, minutes, and other correspondence.
- Maintain and update office records, files, and databases.
- Schedule appointments, meetings, and events, and make the necessary logistical arrangements.
- Take minutes during meetings and ensure timely preparation and circulation of meeting records.
- Manage office supplies and ensure the smooth operation of office equipment.
- Support student admissions, registration, and other administrative activities as required.
- Maintain confidentiality of institutional information and records.
- Assist in organizing institutional functions, workshops, seminars, and events.
- Provide administrative support to the Principal and other departments as assigned.
- Perform any other duties assigned by the Principal from time to time.
Minimum Qualifications
- Certificate or Diploma in Secretarial Studies, Office and Information Management, Business Administration, Public Administration, Records and Information Management, or a related field from a recognized institution.
- Training in secretarial practice, office management, records management, or administrative support is an added advantage.
- Proficiency in computer applications including Microsoft Word, Excel, PowerPoint, email, and internet usage.
Experience and Competencies
- Excellent written and verbal communication skills.
- Strong organizational and time management skills.
- Ability to maintain confidentiality and handle sensitive information.
- Good interpersonal and customer service skills.
- Ability to multitask and work effectively under minimal supervision.
- High level of professionalism, integrity, and attention to detail.
- Ability to work effectively as part of a team.
- Experience in secretarial, administrative, or office management roles will be an added advantage.
