Dean of Students

The Dean of Students is responsible for providing leadership and direction in all matters concerning student welfare, discipline, and development at San Institute of Computing, Management, and Information Science (SICMIS). The office promotes a holistic student experience that supports academic achievement, personal growth, and social responsibility.

The Dean works closely with the Principal, Deputy Principals, Academic Registrar, and other departments to ensure that students’ academic and non-academic needs are met in line with the Institute’s mission, vision, and values.

Duties and Responsibilities of the Dean of Students

The Dean of Students performs the following specific duties and responsibilities:

1. Student Welfare and Support Services

• Oversee and coordinate all student welfare programs, including health, counselling, housing, and recreation.
• Develop policies and frameworks that enhance the quality of student life.
• Ensure that students have access to psychosocial and academic support services.
• Foster an inclusive environment that respects diversity, equity, and well-being.

2. Student Discipline and Conduct

• Enforce discipline among students in accordance with institutional regulations.
• Chair or serve as Secretary to the Student Disciplinary Committee.
• Investigate and address cases of student misconduct and recommend appropriate action.
• Promote a culture of responsibility, integrity, and mutual respect within the student community.

3. Student Development and Leadership

• Coordinate student leadership activities, including elections and training for the Students’ Guild and other student organizations.
• Promote co-curricular and extracurricular programs that nurture leadership, entrepreneurship, and civic engagement.
• Support mentorship and peer-support initiatives that encourage personal and professional development.
• Facilitate workshops and seminars on student leadership, ethics, and life skills.

4. Guidance, Counselling, and Mentorship

• Oversee the counselling and guidance services for students facing academic, emotional, or social challenges.
• Identify at-risk students and implement support mechanisms to improve retention and success.
• Collaborate with faculty and counsellors to promote mental health awareness and positive behavior.
• Develop mentorship frameworks that connect students with alumni, faculty, and professionals.

5. Student Accommodation and Welfare Facilities

• Supervise student housing and ensure a safe, clean, and conducive living environment.
• Oversee the allocation and management of accommodation facilities.
• Ensure welfare facilities such as cafeterias, health units, and recreation centers meet quality and safety standards.
• Coordinate with relevant departments to address student welfare concerns promptly.

6. Co-Curricular and Extracurricular Activities

• Promote sports, clubs, and cultural activities that enhance students’ holistic development.
• Support student participation in national and international competitions and events.
• Foster talent development, innovation, and creativity through organized activities and programs.
• Coordinate recognition and reward schemes for student achievements.

7. Student Relations and Communication

• Serve as the main liaison between management and the student body.
• Facilitate open communication channels between students and administration.
• Address student grievances and mediate conflicts in a fair and transparent manner.
• Promote a strong sense of community, belonging, and institutional loyalty among students.

8. Health, Safety, and Security

• Oversee health and safety programs that protect students on and off campus.
• Coordinate with the Security Office to ensure the safety and security of students and property.
• Implement emergency response and crisis management procedures involving students.
• Promote awareness on health-related issues such as HIV/AIDS, substance abuse, and personal safety.

9. Collaboration and Institutional Engagement

• Work closely with the Principal, Deputy Principals, Academic Registrar, and other departments on student-related matters.
• Coordinate with local authorities, community organizations, and NGOs on student welfare initiatives.
• Represent the Institute in external forums related to student affairs and youth development.
• Contribute to policy development, institutional planning, and governance.

10. Monitoring, Evaluation, and Reporting

• Prepare periodic reports on student affairs, welfare, and development programs.
• Monitor implementation of student-related policies and recommend improvements.
• Provide input to the Governing Council and Management on issues affecting student life and performance.
• Maintain accurate data and records related to student welfare, activities, and discipline.

In fulfilling these responsibilities, the Dean of Students ensures that San Institute provides a supportive, safe, and stimulating environment for all learners. The position plays a vital role in shaping well-rounded graduates who embody the Institute’s core values of Excellence, Integrity, Research, Innovation, and Professionalism, and who contribute positively to society.
